Collect the occupier’s account
Ask where water first appeared, when it changes and whether anyone has already attended. Existing photographs and contractor notes are useful. Avoid asking the tenant to dismantle fittings or open surfaces.
Make decision-making clear
Identify the person who can authorise the agreed work, pay the invoice and answer access questions. Arrange the appointment with the occupier and any managing agent whose communal spaces may be involved.
Use the report for the next stage
A written record helps coordinate repair follow-up, drying and reinstatement. Keep the plumbing repair scope distinct from wider tenancy or responsibility matters, which should be handled through the appropriate agreements and advisers.
